Turn a Messy QuickBooks Export into a Banker-Ready One-Page PDF with ChatGPT

Why this workflow

QuickBooks exports are built for QuickBooks, not for people. By the time a transaction list has been downloaded, merged with last month's file and forwarded twice, it has title rows where the headers should be, blank columns, duplicated lines and subtotal rows that look like data. Handing that to a banker isn't an option, and cleaning it by hand is an afternoon of Excel you'd rather not spend.

This episode walks through doing the whole thing in ChatGPT with four prompts. Genesis, a project manager at Zelifcam, takes a real-looking export from junk to a one-page PDF with a cash position, an AR aging summary and a printable chart.

What it replaces

- Manually deleting header and total rows
- Building a pivot table for aging buckets
- Writing SUMIF formulas for cash and receivables
- Laying out a summary in Word or Excel and exporting it

The four prompts

1. Ask before you fix. Upload the file and ask what's in it and what's wrong with it. Don't request changes yet. In the video, this step surfaced six invoices with missing due dates and a duplicated monthly total that would have inflated July.
2. Clean it, in plain English. Name the exact problems to fix. Tell it to fill blank due dates from the payment terms already in the file, not to guess.
3. Verify the before and after. Ask for row counts and balances before and after cleaning. This is the step most people skip and the one that lets you trust the output.
4. Summarize for the banker. Spell out how to calculate cash and which aging buckets you want. Then ask for one black-and-white chart and a one-page PDF.

Caveats

- ChatGPT will do what you tell it, including inventing data if you're vague. Be explicit that it should only use values already in the file.
- Always check the before-and-after counts against the source. The model is fast, not infallible.
- The demo uses ChatGPT, but any assistant with file upload (Claude, Gemini, Copilot) handles the same prompts.
- Anything with real financials should go through whatever data-handling policy your firm already has for cloud tools.
