Why this workflow
Ask ChatGPT to write a customer email with no context and you get the same thing every time: clean grammar, "competitive pricing," and a sign-off nobody on your team would use. It isn't wrong, it's just not you. So you fix it by hand, and you do that on every draft, forever.
The fix is a one-time setup. Genesis, a project manager at Zelifcam, writes a one-page company profile and saves it as the instructions on a ChatGPT Project. Every chat opened inside that project reads it first. Same prompt, same request from a price-shopping bakery owner, and the second draft comes back with real pricing tiers, the answer to "someone else is cheaper," and a human signature.
What it replaces
- Pasting the same "here's who we are" paragraph into every new chat
- Rewriting the opening and closing of every AI draft by hand
- Stripping out phrases your company would never say
What goes in the profile
About a page, written like a first-day briefing for a new hire:
1. What you do. What you sell, who you sell it to, and who's sending the email.
2. How you price. The actual tiers or ranges, so the model can answer a pricing question instead of dodging it.
3. The objections you hear. "Someone quoted me lower" and what you normally say back.
4. How you talk. Phrases you never use, and what you say instead.
Stuck on a blank page? Ask the AI to interview you one question at a time and answer as you go.
